The problem

Swaps arranged in a group chat never reach the roster

Two people agree a swap over messages and the roster still shows the old name. The person who turns up is not the person the timesheet expects and nobody checked whether they had any rest. How it works

In four steps

  1. Offer or claim

    Offer your published shift to one colleague or everyone eligible. Open shifts are listed 28 days ahead, with the reason when one is not open to you.

  2. Rules checked first

    Nobody can take a shift in the past, at the wrong site, on approved leave, at a time they are already rostered or marked unavailable.

  3. Warnings for the approver

    Short rest, possible overtime and time outside stated availability are shown to the person and the approver.

  4. Approved and the roster changes

    With approval on, a manager decides in Needs you. With it off, the swap settles straight away.
