Weekly roster template

A roster you can fill in today: one row per person, one column per day, paid hours at the end. Download it for Excel or Google Sheets or print it straight from this page.

Moving off spreadsheets later? The shift list file uses the exact columns LoggerIQ’s roster import reads, so the same shifts come across without retyping.

Download

CSV files open in every spreadsheet program. There is nothing to install and no sign up.

The example week below is the same one in the download. Switch to blank for a sheet to fill in by hand; printing gives one landscape page with nothing else from this site on it.

Paid hours are the shift less a 30 minute unpaid meal break where one is rostered. Check your award for break and minimum engagement rules.

How to use it

Four steps to a roster people can rely on

  1. Start from the example or the blank

Open the CSV in Excel or Google Sheets (in Sheets: File, Import, Upload). Replace the example names, roles and sites with your own and save a copy as a spreadsheet so your formatting is kept.

  2. Write each shift as start to finish

Use 24-hour times, such as 17:00-01:00 for a shift that finishes after midnight and add the site under the time if you run more than one.

  3. Total the paid hours

Take the unpaid meal break off each shift before you add up the week. A shift past five hours usually needs one; your award sets the exact rule.

  4. Publish it the same way every week

Print it for the staff room or share the file. Either way, tell people when it changes: a roster nobody saw is the start of most timesheet disputes.

Bring it into LoggerIQ

The shift list imports as it is

We run this file through LoggerIQ’s own import in our tests, so every column maps itself and every example shift imports.

  1. Import your sites and people first, so each shift can find its person by email and its site by name.
  2. In LoggerIQ, an admin opens Settings, Import, chooses Roster (next four weeks) and Any spreadsheet (CSV), then chooses the file.
  3. The columns match themselves: Date, Start time, End time, Employee name, Email, Site, Role and Note. Set the dates to read as Day, month, year.
  4. Check the rows and import. Shifts arrive as drafts, so nobody is told until you publish the week from Roster.

Only shifts from today to four weeks ahead are imported, so change the example dates to your coming weeks first. Importing asks for a code from your authenticator app. The grid file is for reading and printing; the import reads the shift list.
